SECURITY & PRIVACY / BUILT IN

Trust means data is useful and appropriately protected.

Every engagement applies proportionate safeguards for the data, risk and business context. This complements specialist cyber security and legal advice where deeper expertise is required.
01
Minimise

We begin by agreeing what data is genuinely necessary for the task, decision or outcome. Limiting fields, extracts and working copies reduces exposure, avoids unnecessary complexity and keeps delivery focused on measurable business value.

Where a copy is required, we define why it exists, who may use it and when it should be removed. This supports privacy by design while preventing sensitive information from spreading across inboxes, spreadsheets and temporary workspaces.

02
Classify

We identify personal, commercially sensitive, regulated and business-critical information before it is moved, combined or prepared for AI. Classification stays practical by connecting each data category to its purpose, permitted use, consent position and relevant obligations.

This allows safeguards to match real risk rather than treating every dataset the same. Teams can see what may be shared, what must be restricted, and what requires specialist security, privacy or legal review before work continues.

03
Control

Access is granted according to role and genuine need, with secure handling applied across transfer, storage, transformation and disposal. We favour approved tools and controlled workflows so convenience does not quietly become a security or confidentiality weakness.

Key actions, changes and decisions remain traceable, including the source of critical data and human review of AI-assisted output. That evidence makes issues easier to investigate and gives clients confidence that results were produced responsibly.

04
Account

Every important dataset, rule and quality measure needs a named owner who can make decisions and answer for outcomes. We make responsibilities visible across business and technical teams, including who approves access, resolves exceptions and monitors ongoing quality.

Retention periods, review points and disposal decisions become part of the operating process, not an afterthought. Clear accountability helps controls remain effective after delivery and keeps data trustworthy, protected and ready for future use.

2 foundations / 3 stages / 6 practical solutionsSix clear ways to make your data work better.

Less transformation theatre. More usable data. Start with the problem you can see and leave with a practical outcome your team can use — without a giant programme or vague advisory.

Quality, security and privacy are considered together at every stage — in proportion to the data, risk and business context involved.

Discover

Identify all data sources

Build a complete, evidence-based view of the data your organisation actually uses — including the sources that sit outside formal IT controls.

Discovery begins with a complete inventory of every place the organisation creates, receives, stores or transforms data. We examine core business applications and the less-visible sources used in day-to-day work, so the assessment reflects operational reality — not only what appears on a system architecture diagram.

For every source we record its business purpose, owner, location, format, sensitivity, update cycle, dependencies and known quality concerns. This creates a practical basis for deciding what to connect, clean, govern, migrate, retain or retire, while exposing duplication, uncontrolled manual handling and security or privacy risks before they affect reporting, operations or AI.

Your Data and Systems

Keep what works. Change only what needs to. We first understand how your current data and systems support the business before recommending change.

We examine how data is captured, stored, connected, protected and used across applications, databases, interfaces and manual processes. This reveals which parts of the current landscape already serve the business well and should be retained.

Where the existing setup cannot meet your priorities, we identify the specific limitation and recommend a proportionate improvement or practical alternative — with clear reasons, trade-offs and next steps.

FROM DATA PROBLEM TO BUSINESS CASE

Make the value — and the cost of waiting — visible.

Every use case below connects the data work to a measurable operating result, an indicative AUD opportunity and the consequence of leaving the issue unresolved.

How to read the figures

Values are indicative AUD scenario ranges for a growing organisation, not guaranteed savings or a quotation. The example calculation makes each assumption visible; the real business case is validated against your volumes, rates, cost base, current controls and actual data-quality baseline.

Validate your opportunity ↗
LOWER-LEVEL CLARIFICATION

How each value step works in practice.

Follow the links above to move directly from the four-step overview to the detailed method, its decision logic and a transparent worked example.

01Measure
Build an evidence-based baseline before proposing the solution.
Back to overview ↑

Measure establishes the size and pattern of the problem using observable evidence. We identify where the data issue appears, how often it occurs, which people, processes and systems it affects, and how much effort is spent finding, checking and correcting it. This prevents a visible symptom from being mistaken for the whole business problem.

The baseline uses consistent units such as staff hours, exception volumes, delayed days, lost margin, excess inventory, repeat work or risk events. Each measure has a source, period and accountable owner, and related effects are kept separate to avoid double counting. The result is a defensible starting point against which improvement can later be proven.

02Monetise
Translate the measured problem into a transparent AUD opportunity.
Back to overview ↑

Monetise converts the verified baseline into business value using the organisation’s own unit economics. Depending on the use case, that may be loaded labour cost, margin per service, cost per exception, inventory carrying cost, average invoice value, billable revenue or the portion of a migration budget consumed by avoidable data rework.

We distinguish cash recovered, cost avoided, capacity released, revenue or capital protected, and risk exposure reduced. Not every hour released becomes a direct cash saving, so assumptions are shown rather than hidden and conservative, expected and upside ranges can be compared. This makes the estimate credible enough for an investment decision.

03Compare
Compare action and inaction over the same period and assumptions.
Back to overview ↑

Compare places the proposed action and the current trajectory side by side. The action case includes implementation cost, ongoing stewardship, delivery timing, dependencies and the rate at which benefits will build. The inaction case includes recurring leakage, manual work, growing volumes, delayed decisions and material risk that remains untreated.

We calculate net benefit rather than presenting gross value alone and test conservative, expected and upside scenarios. Payback time, first-year value and sustainable annual value are made visible, along with benefits that cannot responsibly be converted into cash. This helps leadership prioritise the use cases with the clearest value and lowest delivery dependency.

04Prove
Turn the business case into owned measures and before-and-after evidence.
Back to overview ↑

Prove defines how success will be recognised before work begins. Every outcome receives a baseline, calculation rule, trusted data source, accountable business owner, target, review frequency and delivery date. Quality, privacy and control guardrails are included so that a financial improvement is not achieved by creating a new operational or compliance problem.

After implementation, the same measures and sources are used to show the change. One-off cleansing results are separated from sustainable control performance, variances are explained, and evidence is retained for leadership and future reviews. Only realised outcomes are reported as achieved value; assumptions that did not materialise are adjusted transparently.

FROM TRUSTED DATA TO AN OPERATING AI CAPABILITY

AI-ready is not a data milestone. It is a business capability that can be trusted, controlled and measured.

A business is AI-ready only for a defined use case — when the data, process, people and controls are strong enough for AI to improve a real decision or task repeatedly, without creating unacceptable operational, privacy or human risk.

THE READINESS TEST

If the business cannot name the decision owner, trusted evidence, acceptance threshold, human checkpoint and success measure, it is not yet ready to operationalise AI for that use case.

THE FOUR READINESS TESTS · EXPLAINED

What each signal means in practice.

Each test below connects the business question to a practical operating example, a measurable result and relevant industry use cases. Together they show why trusted data is necessary — and why data alone is not the destination.

01Outcome

Start with the business decision — not the model.

Back to overview ↑

AI readiness begins with a decision, task or customer outcome that is important enough to improve. The business must name the accountable owner, the people affected and the operational moment in which AI will help. Data and technology are inputs to that capability; they are not the objective on their own.

A credible outcome includes a pre-AI baseline, a target, a time horizon and an acceptance threshold. It also makes the economics and constraints explicit: what value could be created, which errors are unacceptable, when a person must decide and what the AI is never permitted to do. This turns an interesting experiment into an owned business case.

DETAILED PRACTICAL EXAMPLE
Invoice-exception triage
01Starting point

A finance team handles 2,400 invoice exceptions a year. Each takes an average of 35 minutes at an AUD 70 loaded hourly cost, with the Finance Operations Manager accountable for the result.

02AI in the workflow

AI groups similar exceptions, identifies the likely cause and recommends the next action. A finance officer checks the evidence and approves every correction or payment change.

03Result to prove

The 90-day target is 30% less handling effort — approximately AUD 29,400 in annual capacity — while payment accuracy and approval controls remain at or above baseline.

2,400 × 35 min ÷ 60 × AUD 70 = AUD 98,000 current annual handling effort
02Data

Create evidence that is fit for this use case.

Back to overview ↑

AI does not require every dataset in the organisation to be perfect. It requires the specific evidence used by the use case to be reliable enough for its intended decision. That means stable identities, agreed definitions, known quality, traceable lineage, appropriate access and a lawful, permitted purpose for using the data.

The practical deliverable is a use-case data contract: which sources and fields are necessary, who owns them, how current they must be, what quality thresholds apply and how training, testing and live data are separated. Versioned reference sets and representative edge cases then show whether the evidence remains dependable as the business changes.

DETAILED PRACTICAL EXAMPLE
Customer and loyalty identity
01Starting point

A retailer has 52,000 customer records across e-commerce, POS, CRM and loyalty platforms. Profiling finds 8% suspected duplication and inconsistent consent status between channels.

02AI in the workflow

Matching rules propose likely identities, preserve source lineage and route uncertain pairs to a data steward. Only approved golden records and current consent are exposed to the customer-service assistant.

03Result to prove

AI can produce a reliable service summary without merging the wrong customers or using disallowed data; unresolved records remain outside automated recommendations.

3,100 approved matches at 98% precision · 100% source lineage · consent checked before use
03Control

Define where AI may act — and where it must stop.

Back to overview ↑

An AI capability needs an operating boundary as clear as any other business control. Roles, permissions, acceptance tests, human checkpoints, prohibited actions and escalation routes define what the system may read, recommend, create or change. Sensitive data is minimised, access is purpose-based and every material action remains attributable.

Controls continue after launch. Model, prompt, supplier and source-data changes are reviewed; outputs and overrides are logged; incidents can be contained; and the capability can be paused or rolled back. The degree of human review should match the consequence of error — from sampling low-risk drafts to mandatory approval for financial, clinical, employment or eligibility decisions.

DETAILED PRACTICAL EXAMPLE
Claims anomaly assistant
01Starting point

A care provider wants AI to highlight claims that may conflict with delivered services or funding rules before submission, without allowing a model to make a funding decision.

02AI in the workflow

The assistant displays the source service, rule and confidence behind each flag. Authorised claims staff verify the evidence; AI cannot reject, amend or submit a claim, and uncertain cases follow a documented escalation path.

03Result to prove

The team receives faster, prioritised review while accountability stays with the claims officer and every recommendation, override and final action remains auditable.

Role-based access · mandatory human approval · complete decision log · immediate stop control
04Proof

Measure the operating result — not the AI activity.

Back to overview ↑

Prompts sent, documents generated or recommendations produced do not prove value. Proof compares live performance with the pre-AI baseline using measures that reflect the task and its business consequence: success rate, cycle time, correction effort, realised value, service quality, subgroup impact, overrides and incidents.

Monitoring is a management loop, not a launch report. Results are reviewed by the accountable owner, feedback becomes controlled improvement, drift triggers investigation and agreed thresholds trigger restriction or rollback. Benefits are counted only when the intended outcome improves without privacy, safety, fairness or quality falling below its guardrail.

DETAILED PRACTICAL EXAMPLE
Customer-support response drafting
01Starting point

Before AI, an adviser takes 18 minutes on average to prepare and check a response across 12,000 cases a year. The agreed pilot compares the same case types and service-quality measures.

02AI in the workflow

AI drafts a response from approved sources; the adviser verifies facts and sends it. Time, corrections, customer outcome, privacy events and performance across case groups are monitored together.

03Result to prove

Value is accepted only if average time remains near 11 minutes, material correction stays below 8%, service quality is maintained and there are zero privacy incidents.

12,000 × 7 min saved ÷ 60 × AUD 60 = AUD 84,000 potential annual capacity

AUD 65k–220k p.a.
Tangible benefit

Less duplicate entry and searching, safer handovers, and fewer identity or consent exceptions.

Indicative valueAUD 65k–220k p.a.

Recovered administration and care-coordination capacity.

If the issue is not addressed

Teams keep reconciling records manually while duplicate identities and outdated consent increase care and privacy risk.

Illustrative business case

500 clients × 5 minutes saved each week × AUD 50/hour = approximately AUD 108k of annual capacity.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

The organisation can resolve each person to one governed client identity and reliably connect current contacts, representatives, consent, care plans, risks and delivered services. Record ownership, permitted AI use and role-based access are explicit, while duplicate and stale-record thresholds are measured.

01

A stable client identifier links care, CRM, rostering, funding and contact records.

02

Consent, representative authority and care-plan currency have named owners and quality rules.

03

Staff can trace every AI-produced summary back to authorised source records.

WHAT AI CAN DO

AI can assemble an authorised client briefing before a call or visit, highlight conflicting details and surface missing follow-ups. It can suggest the next administrative action from the current care plan and service history, without making care decisions or changing the source record itself.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A coordinator currently searches the care platform, CRM, roster notes and shared files before answering a family query, and may still miss an updated representative or consent restriction.

02AI in action

A permission-aware assistant retrieves only the coordinator's authorised records, produces a source-linked client summary and flags that the CRM address conflicts with the care system and that a review action is overdue.

03Measured business outcome

The coordinator verifies the sources, resolves the conflict and responds in one interaction. The pilot measures preparation time, repeat contacts, unresolved identity exceptions and the percentage of summaries accepted without correction.

HUMAN CONTROL & BOUNDARY

A qualified worker confirms the summary and decides any care or safeguarding action; identity merges, consent changes and external communications always require authorised human approval.

PROVE IT WITH
Minutes to prepare for a client interactionDuplicate or conflicting client recordsRepeat contacts caused by missing context
02

Funding and claims confidence

Reconcile delivered services, funding rules, claims and invoice exceptions.

AUD 50k–250k p.a.
Tangible benefit

More complete claims, faster reconciliation, fewer rejections, and improved cash conversion.

Indicative valueAUD 50k–250k p.a.

Typically 0.5–2% of addressable billable-service leakage plus reduced rework.

If the issue is not addressed

Delivered services remain unclaimed, duplicated or rejected; cash is delayed and audit corrections accumulate.

Illustrative business case

AUD 5m of billable services × 1% preventable leakage = AUD 50k recovered before administration savings.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Delivered-service events, funding rules, client eligibility, evidence and claim outcomes can be joined at line level. Definitions for billable service, exception, rejection and recovery are agreed, historical outcomes are sufficiently complete, and finance owns the approval threshold.

01

Every claim line traces to an eligible client, delivered service, worker and supporting evidence.

02

Funding-rule versions and rejection reasons are structured and time-effective.

03

Known good and rejected claims provide labelled examples for testing recommendations.

WHAT AI CAN DO

AI can score a prepared claim for rejection risk, detect missing or inconsistent evidence, group recurring exception causes and draft a correction checklist. It can forecast claim volumes and likely cash timing, while leaving submission and interpretation of funding rules to accountable staff.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

Billing staff discover missing service notes or an invalid funding code only after a batch is rejected, then contact operations and rebuild the claim manually.

02AI in action

Before submission, an exception model compares the service event, client plan, code, duration and evidence pattern with current rules and previous outcomes. It flags a likely code mismatch and explains the specific fields behind the alert.

03Measured business outcome

A billing officer checks and corrects the line before lodgement. The organisation tracks first-pass acceptance, days from service to claim, recovered leakage and false-positive alerts rather than counting model activity as value.

HUMAN CONTROL & BOUNDARY

The authorised billing team approves all corrections and submissions; the model cannot reinterpret a participant plan, invent supporting evidence or override current funding rules.

PROVE IT WITH
First-pass claim acceptance rateDays from service to accepted claimPreventable leakage and rework hours
03

Responsible AI readiness

Prepare governed data for rostering, demand forecasting and case-note assistance.

AUD 40k–180k p.a.
Tangible benefit

Better rostering and demand signals, with safer and faster case-note assistance.

Indicative valueAUD 40k–180k p.a.

Coordination and documentation time saved, with less AI-related rework.

If the issue is not addressed

AI uses inconsistent or overexposed data, creating unreliable suggestions, privacy exposure and low staff trust.

Illustrative business case

30 coordinators × 15 minutes saved per day × 220 days × AUD 55/hour = about AUD 91k annually.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Demand, availability, skills, travel, care constraints and approved case-note content are consistently captured with adequate history and clear purpose limits. The organisation has an AI register, risk owner, acceptance tests, human review points and monitoring for privacy, bias and service-quality impacts.

01

Roster and demand history is complete enough to compare forecasts with actual outcomes.

02

Worker skills, availability and client constraints use governed definitions rather than free-text assumptions.

03

Approved note templates, access controls and prohibited AI uses are documented and tested.

WHAT AI CAN DO

AI can forecast service demand, propose roster options, summarise authorised case information and draft structured notes from verified inputs. It can show conflicts and confidence levels, but it does not allocate care autonomously or create clinical facts.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A service coordinator builds next week's roster from spreadsheets and memory while supervisors spend additional time rewriting inconsistent visit notes.

02AI in action

A planning assistant forecasts demand by service and location, proposes a roster that respects skills and availability, and explains every unfilled constraint. A separate controlled assistant converts approved visit inputs into a draft note with source references.

03Measured business outcome

Coordinators approve or amend every proposal. The pilot compares travel time, unfilled shifts, overtime, note-completion time and correction rates against the pre-AI baseline, with client-impact complaints monitored separately.

HUMAN CONTROL & BOUNDARY

Care allocation, risk escalation and final case notes remain human decisions; sensitive information is minimised and AI outputs are never treated as clinical assessment.

Tangible benefit

Consistent jobs, sites, stages and cost codes, with faster operational and finance reporting.

Indicative valueAUD 35k–140k p.a.

Project and finance reconciliation time plus avoided cost misallocation.

If the issue is not addressed

Margins remain difficult to trust and variations, commitments or costs continue to land against the wrong project structure.

Illustrative business case

12 project and finance staff × 3 hours saved monthly × AUD 80/hour = AUD 34.6k before avoided corrections.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Jobs, sites, stages, work packages and cost codes have stable identifiers across estimating, project management and finance. Current status, ownership and code mappings are governed, while schedule and cost history can be reconciled to a trusted project baseline.

01

One project hierarchy maps estimating, delivery and finance codes without unresolved duplicates.

02

Planned and actual dates, commitments, variations and costs share effective dates and owners.

03

Historical project outcomes are comparable enough to test risk predictions by project type.

WHAT AI CAN DO

AI can create a consolidated project briefing, detect coding anomalies and identify early schedule or cost-risk patterns from comparable projects. It can recommend which exceptions a project manager should investigate first and explain the contributing events.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A project appears on budget in the delivery tool, while finance holds late supplier commitments against a different stage code and the monthly review begins with reconciliation.

02AI in action

The AI service maps both systems to the governed project hierarchy, flags unmatched commitments and compares progress, procurement and variation patterns with similar completed jobs. It identifies one package whose cost and schedule trajectory is outside tolerance.

03Measured business outcome

The project manager validates the commitments and takes action before month end. Success is measured through reconciliation hours, uncoded transactions, forecast accuracy and the value of risks acted on before they become losses.

Supplier and subcontractor control

Clean duplicate records, credentials, insurance and payment details.

AUD 45k–220k p.a.
Tangible benefit

Cleaner onboarding, fewer duplicate payments, and current credentials, insurance and bank details.

Indicative valueAUD 45k–220k p.a.

Avoided payment errors and supplier administration, often 0.1–0.5% of addressable spend.

If the issue is not addressed

Duplicate vendors, expired credentials, payment errors and fraud exposure continue to disrupt delivery.

Illustrative business case

AUD 20m supplier spend × 0.25% preventable error or duplication = AUD 50k protected.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Each supplier is resolved to one legal and operational identity with governed bank, insurance, licence, contract, performance and contact data. Document currency, verification status and authorised change processes are visible, and sensitive payment data is isolated from general AI access.

01

Duplicate vendors and trading-name relationships are resolved to approved entities.

02

Credentials and insurance documents have extracted expiry dates, verification status and owners.

03

Bank-detail changes use an independent verification workflow and are excluded from generative prompts.

WHAT AI CAN DO

AI can extract controlled fields from supplier documents, identify probable duplicates, prioritise expiring credentials and summarise delivery or quality history. It can recommend review queues and evidence, but cannot approve a vendor or change bank details.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

The same subcontractor exists under three spellings, one insurance certificate is expired and an accounts user receives a bank-change request outside the normal process.

02AI in action

Entity matching links the three records, document intelligence extracts the expiry date and an anomaly rule routes the bank-change request to independent verification. The supplier owner receives one evidence pack showing why each item was flagged.

03Measured business outcome

Staff merge only the verified duplicates and complete the checks before mobilisation or payment. Measures include duplicate rate, expired-credential exposure, onboarding time, blocked payment errors and false alerts.

HUMAN CONTROL & BOUNDARY

Procurement, safety and finance owners make approval decisions using independently verified evidence; AI never validates legal credentials or payment instructions by itself.

True project margin

Reconcile commitments, variations, actuals and forecasts for reliable reporting.

AUD 100k–500k p.a.
Tangible benefit

Earlier visibility of margin leakage across commitments, variations, actuals and forecasts.

Indicative valueAUD 100k–500k p.a.

Approximately 0.4–2% of a project portfolio where leakage can be acted on early.

If the issue is not addressed

Losses emerge after practical completion, leaving little opportunity to correct scope, procurement or billing decisions.

Illustrative business case

AUD 25m delivery portfolio × 0.5% margin leakage identified early = AUD 125k of recoverable value.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Original budget, approved variations, commitments, actuals, progress and forecast-to-complete are aligned by project and period. Margin definitions and recognition rules are agreed, material late postings are visible, and closed-project history is available to evaluate forecast performance.

01

Every material cost and revenue event maps to the governed project and work-package structure.

02

Variation status and forecast assumptions are time-stamped rather than overwritten.

03

Forecast accuracy can be back-tested against completed projects and known intervention dates.

WHAT AI CAN DO

AI can forecast margin-at-completion, detect unusual cost or productivity patterns and explain the main drivers behind a deteriorating outlook. Scenario models can compare the effect of variation recovery, procurement choices and schedule slippage without presenting a single forecast as certainty.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A project reports an acceptable margin until late subcontractor invoices and an unapproved variation are recognised near practical completion.

02AI in action

A model combines current commitments, progress, variation probability and cost behaviour from comparable work. It produces conservative, expected and upside ranges and flags that one package is consuming contingency faster than physical progress.

03Measured business outcome

The commercial manager validates the assumptions, pursues the variation and changes procurement before the loss is locked in. The business tracks forecast error, days of warning, actions taken and margin protected—not the number of predictions generated.

HUMAN CONTROL & BOUNDARY

Commercial leaders approve assumptions, claims and corrective actions; AI outputs are decision support and never replace contractual judgment or certified financial reporting.

Student 360

Connect identity, enrolment, learning activity, support and outcome data.

AUD 80k–300k p.a.
Tangible benefit

Faster student support, fewer hand-offs and earlier intervention for students at risk.

Indicative valueAUD 80k–300k p.a.

Administration time saved plus a modest 0.5–1.5 percentage-point retention improvement.

If the issue is not addressed

At-risk students remain hidden between platforms, staff repeat searches and support histories stay incomplete.

Illustrative business case

3,000 students × 1% additional retention × AUD 5,000 contribution = AUD 150k retained value.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

A learner's identity, enrolment, attendance, learning activity, support interactions, outcomes and communication permissions can be connected across platforms. Definitions for engagement and support risk are agreed, sensitive attributes are purpose-limited, and historical interventions are labelled without embedding past bias as truth.

01

One student identifier links SIS, LMS, CRM, finance and approved support records.

02

Engagement events are timely, interpretable and comparable across courses and delivery modes.

03

Support teams own the intervention workflow, fairness tests and student communication rules.

WHAT AI CAN DO

AI can summarise a student's authorised journey, identify unusual disengagement patterns and suggest the appropriate support queue or next contact. It can help staff prioritise attention and draft outreach, but cannot determine progression, discipline or eligibility on its own.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A student misses assessments and stops opening the LMS, but the pattern is split across platforms and becomes visible only after a formal withdrawal request.

02AI in action

A monitored model detects a change from that student's normal engagement, checks that the signals are sufficiently complete and routes a plain-language explanation to the support team. A staff member reviews the context before contacting the student.

03Measured business outcome

The student receives relevant support earlier, while the institution measures time to intervention, successful re-engagement, false alerts and outcome differences across student groups.

HUMAN CONTROL & BOUNDARY

Tangible benefit

Cleaner regulatory reporting, faster census reconciliation and fewer funding corrections.

Indicative valueAUD 50k–250k p.a.

Reporting effort saved plus avoided corrections, rework and funding leakage.

If the issue is not addressed

Conflicting enrolment states lead to manual submissions, audit findings, funding clawbacks and slower decisions.

Illustrative business case

1,200 reporting hours × AUD 60/hour plus a 0.5% correction on AUD 2m funding = AUD 82k of opportunity.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Offer, enrolment, census, progression, completion, withdrawal and funding events share governed definitions and effective dates. Regulatory rules are versioned, exceptions have accountable owners and reconciled historical submissions provide an evidence base for testing.

01

Student status transitions reconcile across admissions, SIS, LMS, finance and reporting.

02

Rule versions and reporting periods are traceable to every derived outcome.

03

Corrections, funding adjustments and audit findings are classified for learning and monitoring.

WHAT AI CAN DO

AI can identify inconsistent status journeys, predict which records are likely to fail census or completion rules and explain the fields driving an exception. It can draft a reconciliation narrative and prioritise cases, while the official submission remains rule-based and human-approved.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A learner is active in the LMS, withdrawn in the student system and still included in a funding extract, requiring several teams to investigate near deadline.

02AI in action

An exception service compares the time-stamped events and current reporting rules, highlights the contradictory transition and retrieves the source evidence needed for review. It groups similar cases by probable root cause.

03Measured business outcome

The reporting owner confirms the correct status and fixes the upstream process before submission. Measures include exceptions per thousand enrolments, reconciliation hours, late corrections and first-pass reporting acceptance.

HUMAN CONTROL & BOUNDARY

Reporting officers approve all status corrections and statutory outputs; AI does not invent missing events or reinterpret regulatory requirements.

Indicative valueAUD 80k–400k project value protected

Commonly 10–20% of migration effort otherwise consumed by preventable data rework.

If the issue is not addressed

Cutover delays, missing learning histories, duplicate identities and prolonged parallel support increase programme cost.

Illustrative business case

AUD 1.5m platform programme × 10% preventable migration rework = AUD 150k protected.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Legacy identities, course structures, histories, balances and documents have profiled quality, named owners and approved target rules. Mapping decisions, exclusions, retention obligations and reconciliation totals are version-controlled, with representative data available for repeatable testing.

01

Source fields and values have completeness, validity and duplication profiles by migration scope.

02

Approved source-to-target mappings include transformations, owners and unresolved decisions.

03

Control totals and critical student journeys can be replayed before cutover.

WHAT AI CAN DO

AI can propose field mappings from metadata and examples, cluster undocumented values, identify probable duplicates and generate candidate test cases. It can explain its confidence and accelerate analyst work, but every transformation and disposal decision remains governed.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

Two legacy systems use different programme codes and student identifiers, while years of free-text status values make the true migration scope unclear.

02AI in action

An AI-assisted mapping workbench groups value patterns, proposes target codes with source evidence and highlights low-confidence cases. It generates test scenarios for identity, history and balance reconciliation using approved synthetic or masked samples.

03Measured business outcome

Data owners approve the mappings and resolve exceptions before dress rehearsal. The programme measures mapping cycle time, defects found before cutover, reconciliation pass rate and post-go-live data incidents.

Tangible benefit

Faster service and KYC handling, fewer duplicate parties, and clearer product, relationship and consent views.

Indicative valueAUD 120k–600k p.a.

Service effort, remediation reduction and better retention across high-volume customer events.

If the issue is not addressed

Inconsistent identities and consent create poor service, conduct exposure, privacy risk and missed relationship value.

Illustrative business case

10,000 service events × 8 minutes saved × AUD 70/hour = about AUD 93k before remediation benefits.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Customer, household, organisation, product, channel and consent relationships are resolved with defensible matching and time-effective history. Permitted purposes, sensitive attributes and access are enforced, and service outcomes can be linked to the information used.

01

Identity resolution has measured precision, review thresholds and a controlled merge process.

02

Product, relationship and consent history is current and traceable across channels.

03

AI access is limited by role, purpose and customer permissions, with complete activity logging.

WHAT AI CAN DO

AI can prepare a source-linked relationship summary, detect service or retention signals and suggest an appropriate next action within policy. It can assist KYC case preparation and channel handover, but cannot determine eligibility, provide regulated advice or merge parties autonomously.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A member contacts the service centre about an account issue, but the agent cannot see a related business relationship, a recent complaint and an updated channel preference in one place.

02AI in action

A permission-aware assistant assembles the relevant relationship context, cites the contributing systems and flags the open complaint and preferred contact channel. Policy rules restrict the suggestions that can be shown for this interaction.

03Measured business outcome

The agent verifies the facts and resolves the matter without another transfer. Measures include handling time, repeat contact, correction rate, consent breaches and customer outcomes by cohort.

Tangible benefit

Shorter reporting cycles with traceable figures, rules, owners and quality evidence.

Indicative valueAUD 100k–500k p.a.

Reconciliation and evidence effort reduced, with lower remediation exposure.

If the issue is not addressed

Misstatements, repeated reconciliations, audit findings and regulator-driven remediation remain recurring costs.

Illustrative business case

3,000 annual reporting hours × 30% reduction × AUD 80/hour = AUD 72k before avoided remediation.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Critical figures trace from source through approved business rules, adjustments and controls to the submitted report. Definitions, lineage, data-quality thresholds and evidence owners are governed, and prior breaks and remediations are structured for analysis.

01

Every material reported figure has approved lineage, rule version and accountable owner.

02

Reconciliations and quality exceptions are repeatable, time-stamped and evidenced.

03

Narrative generation is separated from authoritative calculations and final sign-off.

WHAT AI CAN DO

AI can prioritise anomalous movements, retrieve lineage and control evidence, compare explanations across periods and draft a source-linked variance narrative. It can identify where an evidence pack is incomplete, without calculating or submitting an official figure outside controlled rules.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A material balance changes unexpectedly and analysts spend days tracing spreadsheets, transformations and prior email explanations before the reporting committee meets.

02AI in action

An evidence assistant follows the governed lineage, isolates the changed source population and rule version, and drafts a variance explanation with links to reconciliations and unresolved exceptions.

03Measured business outcome

The report owner validates the cause, amends the narrative and signs off through the existing control process. The business measures investigation time, late adjustments, missing evidence and audit rework.

Critical data elements have quality baselines, owners and target acceptance thresholds.

02

Mappings include rule provenance, confidence and an approval record.

03

Balances, counts and customer journeys reconcile across repeatable migration rehearsals.

WHAT AI CAN DO

AI can propose mappings, cluster defects, detect duplicate parties, generate test cases and explain reconciliation breaks across large migration populations. It helps teams focus on novel exceptions while deterministic controls remain authoritative for balances and cutover.

DETAILED ILLUSTRATIVE EXAMPLE

Cross-department identity and property links carry confidence and review status.

02

Each AI use has a documented purpose, lawful basis, minimum dataset and access role.

03

Service triage outcomes and complaints can be monitored across affected groups.

WHAT AI CAN DO

Documents have authoritative location, owner, version, record class and retention status.

02

Access and sensitivity rules are consistently enforced across repositories.

03

AI classification thresholds, samples and false-positive reviews are documented.

WHAT AI CAN DO

AI can classify candidate records, detect personal or sensitive content, identify duplicates and stale versions, and prioritise material for authorised review. It can improve discovery and response preparation while preserving legal and records-management decisions for people.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

Each source has owner, purpose, consumers, sensitivity and lifecycle decision.

02

Historical values and undocumented codes are profiled with representative examples.

03

Migration and archive rules have control totals, acceptance criteria and legal approval.

WHAT AI CAN DO

AI can infer candidate data mappings, group undocumented codes, identify redundant records and generate dependency or test hypotheses. It accelerates discovery and documentation, while deterministic reconciliation and approved records rules control the modernisation.

DETAILED ILLUSTRATIVE EXAMPLE

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Patient, practitioner, referral, appointment and episode identities are matched with clinically appropriate thresholds and review workflows. Current consent, referral status and minimum-necessary access are enforced, and incorrect-match risk is explicitly tested.

01

Patient matching uses verified identifiers, confidence thresholds and manual exception review.

02

Referral and episode status changes are timely, owned and traceable to source.

03

AI access separates administrative coordination from restricted clinical content.

WHAT AI CAN DO

AI can assemble an authorised referral summary, identify missing documents, prioritise administrative follow-up and suggest scheduling options. It can flag possible duplicates and inconsistencies but must not diagnose, determine urgency outside approved clinical protocols or merge patients autonomously.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

Every billed line traces to a delivered service and authorised practitioner.

02

Code, payer and evidence requirements are current and machine-readable where possible.

03

Denials, corrections and duplicate recoveries have consistent reason labels.

WHAT AI CAN DO

AI can detect likely missing or duplicate charges, recommend a coding review, predict denial risk and assemble the evidence required for an exception. It supports revenue integrity without inventing clinical content or automatically changing a code.

DETAILED ILLUSTRATIVE EXAMPLE

AUD 100k–500k p.a.
Tangible benefit

Fewer unit, specification and lifecycle errors across planning, production, quality and inventory.

Indicative valueAUD 100k–500k p.a.

Avoided scrap, rework, stock and changeover errors, often 0.1–0.5% of addressable cost of goods.

If the issue is not addressed

Wrong units, versions and specifications continue to cause production stops, quality failures and excess stock.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Items, materials, units, specifications, bills of material, hierarchies and lifecycle status are governed across ERP, PLM and production systems. Approved versions and tolerances are time-effective, duplicate rules are measured and engineering change history is traceable.

01

Stable identifiers and conversion rules connect ERP, PLM, MES and warehouse records.

02

Specifications and bills of material have approved version, effectivity and ownership.

03

Defect, scrap and rework events link back to the product and material version used.

WHAT AI CAN DO

AI can identify probable duplicate items, detect anomalous units or specifications, recommend classification and surface product-data patterns associated with scrap or quality events. It can draft a remediation queue and explain evidence without changing engineering masters.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

The same material exists in kilograms and grams under separate codes, and an obsolete specification remains selectable for a production order.

02AI in action

Entity matching proposes the duplicate pair, checks unit conversions and traces where each code is used. An anomaly service flags the obsolete specification and shows the affected orders and prior quality events.

03Measured business outcome

Engineering and master-data owners approve the consolidation and block the old version through controlled change. Measures include duplicate items, unit/specification errors, related scrap and time to release a new product.

Indicative valueAUD 80k–350k p.a.

Reduced expedite, stockout, quality and supplier-administration costs.

If the issue is not addressed

Obsolete lead times and terms create shortages, rush freight, quality issues and supplier compliance gaps.

Illustrative business case

AUD 10m purchases × 0.5% avoidable expedite or quality impact = AUD 50k before admin savings.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Supplier identity, approved status, contracts, lead times, quality, compliance and delivered performance are linked by item, location and period. Stated and observed lead times are separated, document currency is verified and procurement owns decision thresholds.

01

One supplier identity connects commercial, quality, logistics and compliance records.

02

Actual delivery and defect history can be compared with contracted terms by item and site.

03

Risk and performance recommendations have explainable evidence and approved review rules.

WHAT AI CAN DO

AI can forecast actual lead time, detect deterioration in quality or delivery, extract controlled compliance fields and recommend which supplier exceptions need attention. Scenario analysis can compare sourcing options while humans retain commercial and safety decisions.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

Planning still uses a 21-day lead time although recent orders consistently take 35 days, creating shortages and expensive expedite freight.

02AI in action

A model compares purchase orders, acknowledgements, receipts and item-level patterns, forecasts a longer lead time and explains the supplier, lane and seasonality effects. It also flags an expiring compliance document for review.

03Measured business outcome

Procurement validates the evidence, updates the approved planning parameter and engages the supplier. Measures include lead-time forecast error, stockouts, expedite cost, quality incidents and false alerts.

If the issue is not addressed

Bad masters pollute the target, delaying cutover and creating inventory, purchasing and production disruption.

Illustrative business case

AUD 3m ERP programme × 12% preventable data rework = AUD 360k protected.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Items, suppliers, customers, bills of material, inventory and open transactions have profiled quality and approved target mappings. Units, versions, balances and cutover rules are controlled, with repeatable rehearsals and plant-level reconciliation criteria.

01

Critical masters have owners, quality thresholds and target disposition decisions.

02

Mappings preserve units, effectivity and relationships through controlled transformations.

03

Inventory, open orders and production positions reconcile in each rehearsal.

WHAT AI CAN DO

AI can propose master-data matches, cluster legacy values, identify duplicate or obsolete items and generate candidate mapping tests. It can explain unusual reconciliation breaks and prioritise high-impact defects before they interrupt production.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

Legacy plants use different item codes and units for the same component, so the first rehearsal creates duplicate target items and an inventory imbalance.

02AI in action

An AI-assisted workbench groups description, supplier, specification and usage patterns, proposes equivalence candidates and highlights unit risks. Approved rules are tested against masked rehearsal data and deterministic control totals.

03Measured business outcome

Master-data and plant owners resolve the candidates before cutover. Measures include duplicate target records, inventory variance, repeat mapping defects and production incidents after go-live.

Clients, contacts, corporate relationships, engagements, matters, teams and communication permissions are resolved across CRM, practice management and document systems. Relationship ownership, confidentiality walls and conflict-relevant links are current, with clear rules separating helpful context from restricted matter information.

01

One governed party model links people, organisations, engagements and responsible partners.

02

Matter-level permissions and conflicts data are enforced before retrieval, not filtered after generation.

03

Relationship, proposal and service outcomes can be traced to the source interactions used.

WHAT AI CAN DO

AI can prepare an authorised client briefing, identify relationship gaps, summarise recent activity and suggest an appropriate follow-up or cross-service conversation. It can support conflict-search preparation and handovers, but cannot clear a conflict or disclose restricted matter content.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A partner prepares for a client meeting by asking several teams for recent work, open proposals and relationship history, while a related entity is stored under a different name.

02AI in action

A permission-aware assistant resolves the related entity, retrieves only authorised engagement and CRM facts, and produces a source-linked briefing with one unresolved relationship flagged for review.

03Measured business outcome

The relationship owner verifies the briefing and holds a better-informed meeting without exposing another team's confidential matter. Measures include preparation time, duplicate pursuits, missed relationship links and permission exceptions.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Engagement terms, authorised work, time, milestones, work in progress, invoices, write-offs and collections align at client and matter level. Revenue events have owners and reasons, historical leakage is labelled, and contractual billing rules are represented without relying on private email interpretation alone.

01

Time, milestones, WIP and invoices reconcile to approved engagement terms.

02

Write-offs, missed charges and delayed invoices have consistent reason categories.

03

Materiality and client-sensitivity thresholds govern which recommendations reach staff.

WHAT AI CAN DO

AI can detect unbilled work, missing milestones, unusual write-offs and matters likely to delay billing or collection. It can forecast WIP conversion and draft an evidence-based review queue, while authorised professionals decide what is billable and appropriate for the client.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A fixed-fee milestone was completed, but the trigger is recorded in the delivery tool rather than billing, and the omission is found only during quarter-end WIP review.

02AI in action

The model reconciles engagement terms, task completion, time and invoice history, then flags the missing milestone with the relevant contract clause and delivery evidence. It ranks the item by materiality and confidence.

03Measured business outcome

The engagement lead confirms completion and finance raises the approved invoice. The firm measures recovered leakage, days from delivery to invoice, WIP ageing, false alerts and client disputes.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Documents have authoritative versions, owners, matter or practice classification, access rules, review dates and source quality. Superseded and duplicate content is controlled, retrieval respects permissions, and answer acceptance tests cover citation accuracy, completeness and refusal behaviour.

01

Authoritative content is separated from drafts, superseded copies and convenience files.

02

Matter-level access is applied during retrieval and every answer cites permitted sources.

03

Representative questions test accuracy, abstention, confidentiality and human review effort.

WHAT AI CAN DO

A retrieval-based assistant can answer internal questions, locate precedents and produce first drafts grounded in current authorised material. It can compare sources and expose uncertainty, but should refuse when evidence is missing and never present generated text as professional advice.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A consultant spends an hour searching multiple repositories for the current methodology and may reuse a polished but superseded client document.

Properties, addresses, units, owners, tenants, prospects, leases and service providers have governed identities and effective-dated relationships. Address validation, occupancy and ownership status are reconciled, consent and role access are explicit, and duplicate resolution has measurable accuracy.

01

One property and party model connects CRM, leasing, finance and service platforms.

02

Ownership, tenancy and contact relationships are time-effective and source-traceable.

03

Identity matching and AI retrieval operate within consent and portfolio-access boundaries.

WHAT AI CAN DO

AI can assemble an authorised property or party briefing, detect probable duplicates and relationship conflicts, and route service requests using current lease and responsibility data. It can suggest a record match or next administrative action without changing ownership or tenancy records.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Enquiries, prospects, inspections, applications, approvals, contracts and occupancy events connect across channels with consent and fair-treatment controls. Funnel stages and response times are consistently defined, outcome history is complete, and sensitive attributes are excluded unless lawfully justified.

01

Every enquiry has a channel, property, owner, status and next-action timestamp.

02

Application and occupancy outcomes reconcile to the same funnel definitions.

03

Recommendation testing includes fairness, explainability and human override monitoring.

WHAT AI CAN DO

AI can prioritise unanswered enquiries, recommend the next service action, predict likely vacancy exposure and draft personalised but approved follow-up. It can help teams allocate attention, but must not make tenancy decisions or use protected characteristics as hidden proxies.

DETAILED ILLUSTRATIVE EXAMPLE

ARR and churn are misstated, invoice leakage persists and forecasts lose leadership or investor trust.

Illustrative business case

AUD 10m ARR × 1% recoverable subscription leakage = AUD 100k annually.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

CRM opportunities, contracts, subscriptions, plan changes, usage, invoices, credits and cancellations reconcile to governed ARR and churn definitions. Effective dates and currency are controlled, revenue events have explainable reasons and forecast history can be tested against actuals.

01

Contract, subscription and invoice populations reconcile at account and period level.

02

ARR, MRR, churn and expansion use approved definitions and restatement rules.

03

Historical renewal and billing outcomes are labelled without target leakage.

WHAT AI CAN DO

AI can detect subscription or invoice leakage, forecast renewal and expansion ranges, identify churn signals and draft source-linked revenue commentary. It can prioritise review and outreach, but cannot change a contract, recognise revenue or contact a customer without approval.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A contract uplift is signed in CRM but not reflected in billing, while product usage indicates a separate customer may be at renewal risk.

02AI in action

The model reconciles contract and invoice terms, flags the missed uplift and explains the usage and support signals behind the renewal-risk forecast. Finance and customer success receive separate controlled queues.

03Measured business outcome

Owners verify the items, correct billing and agree an appropriate customer action. Measures include recovered leakage, forecast accuracy, renewal outcome, days to invoice and false alerts.

Indicative valueAUD 100k–500k p.a. of product value protected

Less data-defect investigation, retraining, incident response and avoidable product rework.

If the issue is not addressed

Poor source data produces unreliable features, customer incidents, privacy concerns and low adoption.

Illustrative business case

Eight-person product team × 10% effort lost to data defects × AUD 160k loaded cost = AUD 128k.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Every AI feature has a documented purpose, owner, user, dataset provenance, evaluation set, acceptance threshold and risk treatment. Training and retrieval data is versioned, tenant and consent boundaries are enforced, and production quality, drift, incidents and user feedback are monitored.

01

An AI register links each feature to business goal, model, data, owner and limitations.

02

Representative evaluation covers accuracy, safety, privacy, bias, refusal and failure modes.

03

Production monitoring can connect harmful or poor outputs to model and data versions.

WHAT AI CAN DO

The governed foundation enables reliable AI features such as classification, summarisation, prediction or generation with measurable acceptance criteria. Operational AI can also detect data drift, cluster user feedback and prioritise incidents, accelerating improvement without hiding failure.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A support-answer feature performs well in testing but begins citing outdated product guidance after a documentation change and the team cannot identify which data version caused it.

02AI in action

Monitoring detects a fall in citation acceptance, traces it to the changed source collection and pauses the affected content path. An incident assistant groups similar feedback and prepares the evidence for product and risk review.

03Measured business outcome

The team corrects the source, reruns the evaluation and releases only after thresholds pass. Measures include answer acceptance, harmful or unsupported output, incident detection time, recovery time and user adoption.

Customer-to-consignment truth

Connect customer, booking, shipment, route, proof-of-delivery and charge data.

AUD 80k–350k p.a.
Tangible benefit

Fewer status exceptions and disputes, with a traceable journey from booking to proof of delivery and charge.

Indicative valueAUD 80k–350k p.a.

Exception-handling and tracking time saved plus fewer failed billing hand-offs.

If the issue is not addressed

Teams manually trace shipments, customers receive conflicting updates and delivery disputes take longer to resolve.

Illustrative business case

100,000 jobs × 3 minutes saved × AUD 55/hour = AUD 275k of annual operating capacity.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Customer, booking, consignment, route, scan, proof-of-delivery and charge events share stable identifiers and an ordered event model. Event timestamps, status meanings, location accuracy and exception ownership are governed, with privacy limits for driver and location data.

01

A consignment can be traced from booking through delivery and charge without manual joins.

02

Operational statuses and timestamps are timely, sequenced and source-attributable.

03

ETA and exception outcomes can be back-tested by lane, service and event quality.

WHAT AI CAN DO

AI can predict ETA and delay risk, detect missing or impossible events, draft accurate customer updates and assemble evidence for a delivery dispute. It can recommend which exceptions need intervention without changing proof-of-delivery or charge records.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A customer receives conflicting tracking statuses after a depot scan is missed, and staff manually call several sites to reconstruct the shipment journey.

02AI in action

The model infers a likely delay from route, adjacent scans and current conditions, clearly labels the missing evidence and routes the consignment to operations. A customer-update draft states what is known and what remains uncertain.

03Measured business outcome

Operations verifies the status and an agent approves the message. Measures include ETA error, manual trace time, proactive exception resolution, repeat enquiries and disputed deliveries.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Assets, drivers, locations, tasks, routes, telemetry, maintenance and labour events use governed identifiers and measures. Sensor quality, downtime, service constraints and safety rules are visible, while historical operating outcomes support back-testing by asset and site.

01

Fleet, warehouse and maintenance events reconcile to one asset and location hierarchy.

02

Telemetry completeness, calibration and latency are monitored before prediction.

03

Optimisation objectives include safety, labour, service and operational constraints.

WHAT AI CAN DO

AI can forecast workload and failure risk, recommend route, slotting or labour options and identify abnormal asset or process behaviour. It can compare scenarios with explicit constraints while dispatch, maintenance and workforce decisions remain controlled.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A forklift shows rising temperature events and a warehouse faces a demand spike, but maintenance and labour planning are handled in separate spreadsheets.

02AI in action

Predictive models flag the asset for inspection and forecast workload by shift. An optimiser proposes a revised task and labour plan that excludes the at-risk asset and explains service and overtime trade-offs.

03Measured business outcome

Illustrative business case

AUD 15m freight invoices × 1% preventable exception value = AUD 150k annually.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Bookings, services, distances, accessorial events, contracts, rate cards, invoices and payments reconcile at charge level. Rate versions, tolerances and reason codes are governed, and historical disputes or corrections are structured for analysis.

01

Every invoice line traces to a customer, consignment, delivered service and effective rate.

02

Missing, duplicate and out-of-tolerance charge rules have approved ownership.

03

Dispute outcomes and recovered amounts are consistently labelled by root cause.

WHAT AI CAN DO

AI can detect likely missing revenue, duplicate supplier bills and rate mismatches, predict which exceptions are material and assemble supporting evidence. It can draft a review note while authorised staff decide whether to bill, credit or dispute.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A waiting-time accessorial is recorded operationally but not invoiced, while a carrier submits the same fuel surcharge twice under slightly different references.

02AI in action

The exception model links events to the effective contract, flags the missing charge and probable duplicate, and shows the exact consignment, timestamp and rate evidence for each recommendation.

03Measured business outcome

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Customers, accounts, properties, service points, meters and tariffs have stable, effective-dated relationships across CRM, billing and metering. Move-in, move-out, replacement and shared-site events reconcile, with identity, usage and location data protected by purpose and role.

01

Every billable service period resolves to the correct customer, property, meter and tariff.

02

Relationship changes and meter exchanges are time-effective and source-traceable.

03

Matching and usage recommendations have review thresholds and privacy controls.

WHAT AI CAN DO

AI can identify improbable relationship combinations, prepare authorised customer context, predict likely billing exceptions and suggest the next service investigation. It can surface usage patterns for approved service purposes without changing account or meter relationships.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A meter exchange and tenant move occur close together, leaving the old meter linked to the new customer and generating an abnormal first bill.

Completed work and usage events link to the account, asset, service order and invoice.

02

Rate and adjustment rules are versioned, approved and reproducible.

03

Repeat visits, unbilled work and dispute reasons are classified for monitoring.

WHAT AI CAN DO

AI can detect completed-but-unbilled work, probable repeat-visit causes, abnormal adjustments and rate mismatches. It can predict exceptions before billing and assemble a field-to-finance evidence pack, while staff retain customer and financial decisions.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

01Starting point

A field crew completes a service order but uses an inconsistent closure code, so billing misses the charge and another crew is dispatched to the same job.

02AI in action

The reconciliation service compares crew notes, asset events, closure patterns and billing rules, flags probable completion and identifies the coding mismatch behind both exceptions.

03Measured business outcome

Operations verifies completion, corrects the code and prevents the repeat visit. Measures include completed-but-unbilled value, repeat truck rolls, billing exceptions, days to bill and false alerts.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Assets, components, locations, condition, work orders, failures, inspections and costs use governed hierarchies and failure definitions. Sensor coverage and quality are monitored, maintenance actions and outcomes are captured, and criticality and safety constraints are explicit.

01

One asset hierarchy connects operational, spatial, condition and maintenance history.

02

Failure labels, sensor quality and work-order completion are reliable enough for back-testing.

03

Risk thresholds reflect asset criticality, safety, service and regulatory obligations.

WHAT AI CAN DO

AI can estimate failure risk, detect abnormal condition patterns, recommend inspection or maintenance priority and support capital scenario planning. It can explain the contributing history and uncertainty while engineers retain all safety and asset decisions.

DETAILED ILLUSTRATIVE EXAMPLE

The organisation has named the customers, suppliers, people, assets, services and transactions that matter to its operation. Stable identifiers, relationship rules, ownership and approved sources are defined, while duplicates, missing links and conflicting facts are measured rather than hidden in manual reconciliation.

01

Critical business entities and relationships have agreed definitions, identifiers and owners.

02

Authoritative sources and material quality thresholds are explicit for each important fact.

03

Users can trace an AI-produced summary or recommendation back to permitted source records.

WHAT AI CAN DO

AI can assemble an authorised business briefing, identify conflicting or missing facts and recommend which records or relationships need attention first. It can help people navigate fragmented information without merging records, changing source systems or making accountable decisions on its own.

DETAILED ILLUSTRATIVE EXAMPLE

2,000 exceptions × 30 minutes avoidable handling × AUD 70/hour = AUD 70k of annual capacity.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

Operational events, expected results and reference data can be joined at the level where an exception occurs. Materiality thresholds, reason codes, workflow owners and resolution outcomes are captured consistently, providing enough labelled history to distinguish meaningful exceptions from normal variation.

01

Each material exception traces to the source event, applicable rule, responsible owner and final outcome.

02

Thresholds and reason codes distinguish business risk from harmless variation.

03

Resolved cases provide reliable examples for testing priority and anomaly recommendations.

WHAT AI CAN DO

AI can detect unusual or conflicting records, group recurring causes, estimate materiality and prepare an evidence-backed priority queue. It can recommend the next investigation step while people approve corrections, financial actions, customer contact and changes to operating rules.

DETAILED ILLUSTRATIVE EXAMPLE

One practical path from the current problem to human-controlled value.

WHAT AI READINESS UNLOCKS
From trusted data to a useful AI capability.

One valuable decision or task has a named owner, current baseline, permitted data, measurable target and explicit stop criteria. The organisation has defined the bounded AI role, evaluation examples, human review points, prohibited uses and monitoring needed to prove benefit without creating unacceptable operational, privacy or human risk.

01

The use case names a decision, user, baseline, target and accountable business owner.

02

Permitted source data is sufficiently complete, representative and traceable for evaluation.

03

Acceptance tests, human review, escalation and stop criteria are agreed before a pilot begins.

WHAT AI CAN DO

AI can support the selected task through source-grounded summarisation, classification, prediction or recommendation within a clearly bounded workflow. It can expose confidence and evidence, while accountable people retain decisions and the organisation compares outcomes with the pre-AI baseline.

DETAILED ILLUSTRATIVE EXAMPLE
